Begin with a program update you can verify

A small nonprofit often needs a clear email, a social graphic and a briefing from the same program record. Begin with attendance totals, dates, the activity and the approved next step. Keep personal stories separate unless the organization has permission to use them.

The target is a reproducible communications package. A generated appeal that exaggerates the number of people helped creates extra correction work. Assign one person to own the source record and another to check the public draft when staffing permits. The example below uses invented organizational facts, not beneficiary data.

Check eligibility before comparing grant prices

Canva’s nonprofit page advertises free access for eligible organizations with up to 50 users; its eligibility guidelines require verification. Shortlist the program for design and collaboration when your organization qualifies. Do not assume all organizations that describe themselves as nonprofits are approved or that every AI feature has unrestricted usage.

Microsoft publishes nonprofit software grants and discounts. Consider the existing workspace before buying another document or meeting tool. A qualifying Microsoft 365 grant is not proof that a paid AI assistant is included. The relevant AI seat price and allowance were not established here. Verify the specific product, eligibility and renewal terms rather than using the organization’s grant status as a blanket entitlement.

Worked example: turn a program record into a truthful update

Completed editorial exercise with fictional facts: 42 participants attended three workshops; an optional feedback survey had 18 responses; 15 respondents reported increased confidence. Initial copy: “Our workshops transformed every participant’s life.” That statement was unsupported and confused survey respondents with all attendees.

Final update: “Across three workshops, 42 participants attended. Of 18 optional survey respondents, 15 reported increased confidence. We are using the feedback to plan the next workshop series.” The correction preserves the denominator and avoids presenting a self-report as an independently measured outcome. It is an edited sample for this article, not an assessment of a named nonprofit or AI service.

Design one message for each channel

Use the final update as the master copy. A social graphic can emphasize workshop attendance; a donor email can include the response rate and next step; an internal briefing can retain the calculation and caveats. These formats should share the same facts, not exactly the same paragraph.

Check that the graphic’s headline still describes the program accurately. If an image is illustrative, do not label it as a photo from the event. Keep names, stories and identifiable photos out of an AI prompt until the organization has decided how those materials may be used.

Compare grant savings with operating effort

An eligible free design plan can reduce subscription cost, but review time remains. Illustrative example: two staff members spend 30 minutes each checking a communications package. At an assumed internal cost of $20 per hour, review costs $20 even when the design subscription is free. This is a planning example, not a wage recommendation or measured saving.

Check staff access, volunteer access, document ownership and what happens if eligibility changes. Export approved public materials and retain the underlying program record. A new volunteer should be able to identify the approved version without relying on one person’s account.

Publish with a traceable source record

Before release, check the audience, number, denominator, date and call to action. Confirm the reviewer and the final file. Record a correction if the underlying attendance or survey count changes. Link the update to a source record that staff can access internally.

This guide’s recommendation is to begin with factual communications work. It does not claim AI improves fundraising revenue or program outcomes. Those require evidence from your own organization.
